Privacy Policy
The short version. WhenFree runs on your iPhone. It has no server, no WhenFree account and no analytics. Your calendar, your event titles and your messages never leave your device. If you choose to connect a Google or Outlook account, your iPhone asks Google or Microsoft directly for the times you are busy; that answer is stored on your iPhone only. The App Store privacy label says Data Not Collected, and this page explains why that is true.
What WhenFree does
WhenFree reads the calendars already on your iPhone, works out when you are free according to rules you set, and writes those free times as text into a message, using either the WhenFree iMessage app or the WhenFree keyboard. You read the text before it is sent, and you send it.
What the app can see, and where it goes
| Information | Used for | Where it goes |
|---|---|---|
| Calendar events (times, titles, calendars, all-day and busy/free status) | Computing your free windows; showing a peek of a busy block when you long-press it | Stays on your iPhone. Titles are never written into a message, a snapshot or a file that leaves the device. |
| Your rules (working hours, buffers, notice, meeting types, time zone) | Deciding which windows are offerable | Stored on your iPhone (and in your iCloud device backup, which Apple manages). |
| An availability snapshot (free time ranges only, no titles) | Letting the keyboard and the Messages app draw the board quickly | Stored in the app's private shared container on your iPhone. |
| The text you insert or send | It is your message | Goes only to the person you send it to, through Messages or whichever app you typed it in. WhenFree keeps no copy. |
| What you type on the keyboard | Nothing beyond normal typing | The WhenFree keyboard does not request Full Access, has no network capability, and does not log or store keystrokes. |
| Your conversations | Not used | Neither the iMessage app nor the keyboard can read the conversation you are in. |
| A connected Google or Outlook account (optional) | Showing the times you are busy in that calendar as busy in WhenFree | Your iPhone talks to Google or Microsoft directly over HTTPS. Only busy time ranges come back, never titles, attendees or notes. Sign-in tokens live in your iPhone's Keychain (this device only) and busy times in the app's private container. Disconnecting in Settings deletes both and, for Google, revokes WhenFree's access. |
| Purchases | Unlocking WhenFree Pro | Purchases and subscriptions are handled by Apple's App Store. WhenFree sees only whether an entitlement exists, verified on the device. |
What we do not do
- No WhenFree account, e-mail address or phone number is asked for. Signing in to Google or Microsoft happens only if you choose to connect an account, and that sign-in is with them, not with us.
- No server of ours receives anything. The keyboard and the Messages extension make no network requests. The app makes network requests only if you connect a Google or Outlook account, and only to accounts.google.com, oauth2.googleapis.com, www.googleapis.com, login.microsoftonline.com and graph.microsoft.com. Opening a link to this site or the App Store happens in Safari or the App Store app, outside WhenFree.
- No analytics, advertising or crash-reporting SDKs. If you have opted in to Apple's "Share with App Developers" diagnostics, Apple may share anonymised crash reports with us under Apple's own privacy policy.
- No tracking across apps or websites, and no data sold or shared with anyone.
Messages you send
A WhenFree message contains the times you chose and, when the recipient also has WhenFree, a small identifier so their tap can mark the time as booked on both phones. It never contains event titles, other people's names from your calendar, or your calendar itself. Messages travel through Apple's iMessage (or the messaging app you typed in), under that service's privacy terms.
Connected accounts
Connecting a Google or Outlook account is optional, off by default, and lives in Settings › Connected accounts (available from the WhenFree update that introduces it). WhenFree requests the smallest permissions that answer "when is this person busy": for Google, calendar.freebusy and calendar.calendarlist.readonly; for Microsoft, Calendars.ReadBasic. Requests cover only the time from now to about a month ahead. You can disconnect in WhenFree at any time; you can also revoke access at myaccount.google.com/permissions or account.microsoft.com.
WhenFree's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Permissions
Calendars (full access). Required to read events across all your calendars. WhenFree writes to a calendar only when you tap "Add to calendar" on a booked time, and only that one event. You can revoke access at any time in Settings > Privacy & Security > Calendars; WhenFree then shows an empty board.
Children
WhenFree is rated 4+ and does not knowingly collect anything from anyone, of any age.
Your choices and your data
Everything WhenFree stores lives inside the app on your iPhone. Deleting the app deletes all of it. There is nothing held elsewhere for us to export or erase, so requests under GDPR, CCPA or similar laws are satisfied by design; write to us anyway if you have a question.
Changes
Version 1.1 (this one) adds optional connected Google and Outlook accounts, off by default. Any further change that sends anything off the device will update this policy first.
